BrightBooks is a cloud accounting platform developed with Irish and UK businesses in mind. Formerly known as Surf Accounts, it forms part of the Bright software suite, alongside BrightPay payroll.

Zoho Books supports:

Invoicing, expenses, bank feeds and reconciliation
Projects and time tracking
Automation through workflow rules
Integration with CRM, inventory, subscriptions, and analytics tools

For growing businesses, Zoho Books is often selected as part of a broader systems strategy rather than as a standalone accounts package.

Payroll, A Key Difference for Irish Businesses

This is one of the most important differences to understand.

BrightBooks and BrightPay

BrightBooks integrates directly with BrightPay, which is widely used by Irish employers and accountants. For businesses that want accounting and payroll within one vendor ecosystem, this is a clear advantage.

Zoho Books and payroll

Zoho Payroll is not currently available in Ireland or the EU. Zoho’s own documentation confirms availability in countries such as the USA, UAE, and India, but not Ireland.

VAT and Revenue Reporting, What Irish Businesses Need to Know

VAT handling is another area where clarity matters.

BrightBooks and VAT

BrightBooks provides VAT reports aligned to Irish VAT requirements, making it relatively straightforward to prepare VAT returns for submission through Revenue Online Service (ROS).

Zoho Books and VAT (Ireland)

Most Irish businesses use the Zoho Books Global Edition, not the UK edition.

In the Global Edition:

Zoho Books supports tax configuration and tax tracking
It provides generic tax reports
It does not provide a dedicated Irish VAT3 return report
There is no direct submission to Revenue ROS

Revenue requires VAT3 returns to be filed through ROS. Zoho Books is typically used to manage transactions and calculate tax, with VAT figures then reviewed and submitted in ROS separately.

Where structured VAT reporting is required, many Irish businesses build custom VAT reports using Zoho Analytics, which is designed to sit on top of Zoho Books data and provide tailored reporting.

An award-winning tourism business in County Meath wanted a better way to manage school trip enquiries and stay proactive with group bookings. Schools represent a large portion of their annual visitors, particularly at the end of term, so managing communication and pricing efficiently was key. The business also wanted to cut down on manual paperwork and marketing costs. By introducing them to Zoho One, we helped them replace multiple disconnected tools with an integrated suite covering sales, bookings, consent forms, and marketing.

The Challenge

Despite being a small and collaborative team, we found ourselves pausing to disThe business was using Monday.com to manage enquiries, but it lacked the automation and flexibility needed for seasonal group bookings. Staff had to calculate prices manually and follow up on previous visitors without consistent reminders. Paper-based consent forms created storage and GDPR compliance issues, while email marketing through Mailchimp was costly. About The Implementation

Migration to Zoho CRM

We started by migrating the client’s existing data from Monday.com into Zoho One, ensuring all records were transformed and loaded correctly. Once their CRM was configured, we created a custom module for group pricing, complete with functions that automatically calculate total costs based on group size and chosen packages. This replaced manual spreadsheets and reduced the risk of error.

Automated Client Reminders

To help the business secure repeat bookings, we set up an automated yearly reminder that emails past customers, encouraging them to book early for the next school trip season. This proactive communication helped boost early reservations.

Introducing Digital Consent Forms

We then used Zoho Forms to digitise the liability release process. Instead of storing boxes of paper forms, customers now complete the form on a tablet at reception, ensuring GDPR compliance and faster check-in. The form also includes a food ordering section for group packages, with submissions sent directly to reception for processing, improving internal coordination.

From Mailchimp to Zoho Campaigns

Finally, we helped the business transition from Mailchimp to Zoho Campaigns. This reduced marketing costs and allowed the team to manage contact lists and campaigns within the same Zoho ecosystem, saving both time and money.

The Results

The new system transformed how the business handles group enquiries and repeat visits. Automated pricing functions saved time, while the yearly reminder improved booking consistency. The digital consent forms eliminated paper waste and manual entry, ensuring smoother reception processes and compliance with GDPR. Food orders are now automatically delivered to reception, cutting down on communication delays. By switching to Zoho Campaigns, the business now saves hundreds of euros each month on marketing while keeping everything connected through Zoho One.

How a Small Team Reduced Decision Fatigue with Zoho Cliq Slash Commands

The Nexus Improvement team wanted a quick, frictionless way to make small team decisions without losing momentum in the workday. The aim was to automate everyday choices, like who should follow up or take the next task, without formal processes or unnecessary discussion.

The Challenge

Despite being a small and collaborative team, we found ourselves pausing to discuss low-impact decisions more often than expected. These moments interrupted workflow and created minor inefficiencies that added up over the course of a week. We needed a simple, built-in way to make quick decisions directly within Zoho Cliq, without switching context or relying on external tools.

Technology Used

The solution was built entirely within Zoho Cliq, using its native slash commands and low-code custom functions. No external apps or integrations were required, making the solution fast to implement and easy to maintain.

About The Implementation

Designing the Commands

We created two slash commands: /shortstraw and /flipacoin. The first randomly selects a team member from the current chat and declares them the one who drew the short straw. The second allows a user to flip a virtual coin, displaying either heads or tails along with the name of the person who flipped it.

Developing in Zoho Cliq

Both commands were developed using Zoho Cliq’s built-in scripting tools. The functions were written to run within any group chat or direct message thread, with no dependencies outside the Zoho ecosystem.

Rolling Out to the Team

Once published, the commands were available immediately to all team members in Cliq. We introduced them informally during a team meeting, and adoption was instant, everyone could see the value and started using them straight away.

The Results

The commands reduced the time spent making routine decisions, allowing the team to stay focused on higher-value tasks. They also brought a sense of fun and spontaneity to our chats, which helped reinforce team morale. What began as a simple internal tool turned into a practical demonstration of how low-code automation in Zoho Cliq can streamline communication and make collaboration more enjoyable.

Takeaways

How a Business Coach Transformed Voice Notes into CRM Leads with Zoho Flow and ChatGPT

Synopsis

A business coach working with a high-velocity prospecting model wanted to simplify their process of capturing new leads. Instead of manually typing notes after a meeting, they now record a voice message about a recent encounter. Using their existing ChatGPT Plus subscription, we created a custom GPT action which extracts the key data points (name, email, goals, next step etc.), converts it into code and sends it via Zoho Flow to Zoho CRM, where a new Lead is created and a follow-up Task is scheduled automatically. The coach now has zero extra admin overhead and can focus on coaching.

The Challenge

After each discovery conversation or networking event, the coach was recording voice memos but then had to manually transcribe them into the CRM.
They were missing key data points (e.g., prospect goals, timeframe, obstacles) because it was tedious to type while on the go.
Creating the lead in Zoho CRM and then setting up the correct follow-up task (with correct due date, reminder and next step) was an extra step they often postponed.
The coach needed something simple, mobile-friendly, and automated – they didn’t have time or resources for heavy development or multiple systems.

Technology Used

ChatGPT Plus custom GPT action (to parse voice transcript and generate JSON/Zoho Flow payload)
Zoho Flow (to receive the processed data and send it into Zoho CRM)
Zoho CRM (Leads module + Tasks module)
A simple mobile voice-recording app (native on phone)
(Optional) A transcription service or API to convert voice note to text, if required.

About The Implementation

Voice Note to ChatGPT

The coach records a short voice note on their phone immediately after meeting a new prospect: summarising name, contact details, goals, pain-points and agreed next step.
That note is then either transcribed (via built-in phone voice-to-text or a light API) and sent, along with a standard prompt, to the custom GPT action (via ChatGPT Plus).
The prompt asks ChatGPT to identify the following fields:

Prospect Name
Email Address
Telephone (if provided)
Company (if relevant)
Prospect Goal / Outcome they seek
Timescale they mentioned
Key Obstacle(s)
Proposed Next Step
ChatGPT returns a consistent JSON-formatted object (or Zoho Flow payload) ready for ingestion.

Zoho Flow Automation

A Flow is configured to catch the outgoing GPT-action webhook (or via an email trigger or incoming API). The flow then:

Checks if a Lead with the same email already exists in Zoho CRM. If yes, updates the existing record; if no, creates a new Lead.
Using the data from the JSON, populates the Lead fields (Name, Email, Company, Goal, Timescale, Obstacle).
Immediately creates a Task for the coach: e.g., “Follow up with [Name] – send proposal” with a due date set according to the “Timescale” field (e.g., 3 days after note).
Optionally sends an email or mobile notification to the coach confirming the new lead and task have been created.
(Optional) Sets a follow-up reminder record if the “Timescale” indicates a longer nurture period.

Simplicity First

Because the coach already uses ChatGPT Plus, no additional AI licensing was required. The voice-note → transcription → GPT action → Zoho Flow chain is lightweight, requires minimal new tools, and sits within the tools the coach already uses.
The entire process takes under 30 seconds from recording to CRM entry – which means no friction, no backlog of leads waiting to be typed, and no missed opportunities.

The Results

The coach now captures 100% of new prospect interactions: voice note on the go translates into live CRM lead + follow-up task.
Lead creation and task scheduling is automated, eliminating manual data entry and reducing administrative drag.
The coach can focus on the content of the conversation rather than copying details into the CRM later.
Because the follow-up task is created immediately, the coach is far more consistent with outreach – leading to higher connection and conversion rates.
The lightweight solution is affordable, maintainable and easily adjusted for future changes (e.g., adding more fields, integrating with voicemail system or mobile app).

How a Small Community Automated Tennis Court Bookings Using Zoho Bookings and Zoho Flow

Synopsis

This project is a great example of how Zoho Bookings and other Zoho applications can be leveraged to provide more than just online meetings.

An Irish village community group turned an old hardware store into a café, meeting space, and tennis court. With just a few volunteers, they wanted to offer seamless booking of the Tennis Court without adding to their workload.

The result was a fully automated, zero-admin system that let members and visitors book and access the court easily, without staff involvement.

The Challenges

Members need free access and non-members needed to pay.
Every booking required a unique gate unlock code tied to time & date.
The system had to regenerate new codes on rescheduling.
Budget was tight, so the solution needed to be low cost and maintainable.
A key or padlock could be lost

About The Implementation

Booking Automation via Zoho Bookings

The customer’s website was first prepared by creating a members only page to locate the free booking form, using a free WordPress membership plugin. The Zoho Bookings pages were then embedded on the website. This provided a facility for members to book for free and non-members to pay a fee.

Unlocking Code Automation via Zoho Flow

Using Zoho Flow we created an automation which runs every time the tennis court is booked. It uses an API integration with the lock manufacturer to get a gate code based on the data and time of the booking.

A confirmation email with the code and a link to the booking summary is then sent to the person who made the booking.

Zoho Bookings also has a reschedule feature, so we included a second automation, which requests new code when a booking is rescheduled, followed by a variation of the booking code confirmation email.

Booking Log via Zoho Flow and Zoho Sheet

To simplify admin work and ensure transparency, we added an automation that records every gate code request in a Zoho Sheet spreadsheet. This allows administrators to quickly look up any code if a customer doesn’t receive theirs, eliminating the need for manual tracking or guesswork.

The Results

Manual gate management is not required.
No need to manage physical keys or padlocks.
Members and non-members enjoy seamless access.
Bookings are managed effortlessly through Zoho Bookings automation.
Customers instantly receive their unique access codes.
Admins have access to a list of all bookings and codes.
Volunteers don’t have to chase bookings or manage codes.
The community group can focus on their mission, not operations.

This year marks a significant milestone for Nexus Improvement – 5 incredible years in business. It’s been a journey filled with challenges, growth, and success, and I couldn’t be more grateful for everyone who has been part of it.

When I first launched Nexus Improvement, the focus was purely on business efficiency consulting. Over time, it became clear that many of my clients needed more than just guidance; they needed digital solutions to streamline their operations. Recognising this, the business evolved to specialise in helping organisations implement and optimise digital tools, with a strong focus on Zoho One.

It offers 40+ essential apps which are comparable to many well known platforms such as Mailchimp, DocuSign, Xero and more. All for a fraction of the price!

Through its suite of interconnected cloud applications, you can automate many business activities such as data collection and processing. This in turn helps streamline your work so you can focus on customer relationships.
